Step 1 – 10: ADD A NEW PROJECT
STEP 1: DOWNLOAD THE EXCEL FILE FROM ONE DRIVE
This is required to have the latest update of the MASTER copy.
STEP 2: ADD THE COPY OF THE NEW PRODUCT/ NEW TRANSLATION
In the first column named 'Keynames', write the correct keyname for the corresponding text in the second column. From now on, keyname creation can be done automatically (instead of manually), by using an automated Excel file. The guidelines on how to create keynames are mentioned further in this document.
Note: Make sure that the Master copy text is approved internally and by legal.
STEP 3: SAVE THE EXCEL FILE
Make sure that the sheet with the keynames and corresponding text is the first sheet in the file. Phrase app only reads the first sheet.
STEP 4: LOG IN TO PHRASE APP

STEP 5: CREATE A NEW PROJECT
When adding new copy in the backend of the website, We create separate projects per category/topic.
E.g.: About us/ Better Packs/Career page/…
Fill in the desired project name – e.g. Product Page / About us / Better Packs /…
Pick a main format. (for product info we use excel file).
As main technology make sure you select “REACT”
Click SAVE
STEP 6: SET UP LANGUAGE
Click on “Set up languages”
As default language please select English (our MASTER copy is in English)
Language / country abbreviation needs to be filled in accordingly to the master template names.
Under “name” write the abbreviation of the language of the country first
Add a “-”
Afterwards, add the abbreviation country name in capital letters
E.g. nl-BE, da-DK, nl-BE, fr-FR
STEP 7: UPLOAD A FILE
Once your file is uploaded, check if the right format is selected.
Afterwards, click “proceed to preview”.
STEP 8: THE PREVIEW FILE
1. Select the language to En-Master
2. Select “ignore column” starting from column C
Don’t select ‘ignore column’ for the first two columns as these are the main and essential ones.
If all goes well, you get an overview of the first lines. Afterwards click “import”
STEP 9: FINISH SET UP
Select “Finish setup”
STEP 10: ALL DONE
OVERVIEW 100% TRANSLATED
Select languages
Afterwards, you can see the full green bar, which means everything has been translated

STEP A: SET MAIN LANGUAGE
Set English as the main language
Select the settings wheel
Select “Proofreading”
Tick all the boxes: Mark as main language, unverify new translations and unverify updated translations --> by doing this the countries will see that new copy has been added or has been changed
STEP B: IF YOU WANT TO MAKE ADJUSTMENTS OR ADD NEW COPY TO THE MASTER FILE
There are 2 options to do this:
B1: Download the master again
B2: Select master and then add new copy/adjustment

STEP B1: Tick the box on the left hand side beside language
STEP B1: UPLOAD A FILE
On the right hand on the top of the page side select “upload file”
Once your file is uploaded, check if the right format is selected.
Afterwards, click “proceed to preview”.
STEP B1: NOTIFY COUNTRIES
Send an email to all the countries regarding the new updates
B2: Select master and then add new copy/adjustment
STEP B2: MAKE CHANGES TO THE COPY ON PHRASE APP
Tick the box on the left hand side beside language and click on “en_Master”
STEP B2: MAKE CHANGES TO THE EXCEL FILE ON PHRASE APP
Select the product on the left side that need to be adjusted/changed
1. Add/change your copy
2. Select ”unverify” --> this gives a notice to other countries that copy has changed

EXTRA: CREATING KEYNAMES
Phrase helps you to translate website-related text, by uploading an English Masterfile that needs to be translated by the different markets. Before uploading the Masterfile in Phrase however, a unique keyname needs to be linked to each piece of text that has to be translated.
Phrase works with a keyname to identify words/sentences that must be translated. As such, every item that needs to be translated, must be linked to a unique keyname.
In order to create keynames in a consistent way, an Excel file has been created that automates this process.
In general, three different types of files can be distinguished. For each of them is explained below what the keynames should look like.
1. Campaigns
Within campaigns, four different types of content can be distinguished:
- Title
- Subtitle
- Text
- Link
Make sure that the content you'd like to translate, is labelled with the right text-type. Next, use the template Excel document to help you with the creation of the right keynames. By following the steps indicated in this document, you should create keynames similar to these:

2. FAQs
Within FAQs, three different types of content can be distinguished:
